View room plannings

The planning gives you a visual overview of all rooms and their bookings. Use it to spot free slots at a glance, check what is happening in a building, or book a room directly from the grid.

Open the planning

  1. Open Hamilton Meeting.

  2. In the left menu, click Planning, then Planning.

Choose the date and the view

  1. Pick a date with the Date field or the calendar icon.

  2. Switch between views with the buttons: Day, Week, Weeks or Month.

    • Day shows every room's schedule hour by hour.

    • Week and Weeks show the occupancy across days.

    • Month gives the long-range picture.

Filter the rooms displayed

  1. Click Filter to unfold the filter panel.

  2. Combine the criteria you need:

    • Group: a room group

    • Site, Building, Floor, Room

    • Display options: available rooms, booked rooms, associated rooms

  3. Click Search to apply, or Clean to reset.

  4. Use the "Show groups" / "Hide groups" buttons to group rooms by room group or display a flat list.

You can save your favorite filter: click the save icon next to the Filter field, give it a name, and recall it later with the list icon.

Read the planning

  • Each row is a room; hover a room name to see its layout, capacity, preparation and cleanup times.

  • Colored blocks are bookings. Click a booking to open its detail in a popup — you see the meeting information you are allowed to see (confidential meetings hide their subject).

  • Empty cells are free slots.

Book from the planning

  1. On the room's row, click the starting cell of the free slot and drag to the end time.

  2. A booking window opens with the room, date and time pre-filled.

  3. Complete the form and confirm — see "Book a meeting room" for the details.

Good to know

  • The planning respects your access rights: you only see the rooms of your room groups.

  • The week number is displayed to help you communicate dates unambiguously.
