Book a meeting room

There are two ways to book a room in Hamilton Meeting: from the search screen, or directly from the planning. Both lead to the same result — a booking you can then enrich with participants, services and reminders.

Book from the search screen

  1. In the left menu, click Reservation and run a search as described in "Search for an available meeting room".

  2. In the results list, select the room you want. If your search covers several dates, tick the room for each date, or a combination of rooms when a single room cannot cover all dates.

  3. Click Book.

  4. The confirmation screen appears:

    • "Booking completed" confirms your booking. A summary shows the room, dates, booking name and booker, along with the booking reference.

    • "Booking unavailable" means the room was taken in the meantime. Go back and pick another room or time slot.

Right after the confirmation, shortcut buttons let you complete your booking without leaving the flow:

  • Modify: open the booking to adjust any detail.

  • Service: order catering or services (see "Order catering and services for your booking").

  • Participant: add people to the meeting (see "Add participants and check their availability").

Book from the planning

  1. In the left menu, click Planning.

  2. Find the room and the day you want (see "View room plannings" for filters and views).

  3. Click and drag across the free time slot on the room's row. A booking window opens with the room and time slot pre-filled.

  4. Fill in the booking details: booking name, booker (mandatory), number of participants, type, and optionally a contact person, an imputation code and an observation.

  5. If proposed, set the extra options: confidential meeting (hides the meeting subject from other users) and online meeting (adds a video-conference link to the booking).

  6. Confirm to create the booking.

About statuses and validation

  • Every booking gets a status (for example confirmed or option) depending on your organization's configuration.

  • Some rooms are subject to validation: your booking stays pending until a validator approves it. You are notified of the decision by email if email notifications are enabled. See "Approve or reject booking requests" for the validator's side.

Email notifications

On the booking form, envelope checkboxes next to the Booker and Contact fields control whether these people receive the booking confirmation by email. The booking summary is attached to the email.

After booking

Your booking appears in My bookings, where you can edit, duplicate or cancel it at any time — see "Manage your bookings: edit, cancel and review history".
