Open the search screen
Open Hamilton Meeting.
In the left menu, click Reservation. The Reservation screen opens with three tabs: Reservation, Additional information and Filter.
Enter your time slot
In the Start row, enter the date and the start time (hours and minutes). Click the calendar icon to pick the date visually.
In the End row, enter the date and the end time.
To search for several dates at once (for example a weekly meeting), click "Choose a period" next to the End row. See the article "Set up a recurring booking" for details.
If you see the message "The date or time is not valid", check that the end is after the start and that both are in the future.
Describe your meeting
Still on the Reservation tab, fill in the meeting details:
Booking name: the subject of your meeting. Depending on your organization's settings, this can be mandatory.
Booker: the person the booking is made for. This field is mandatory. Start typing a name and pick the person from the suggestions, or click the magnifier icon to search.
Number of participants: used to keep only rooms with enough seats.
Imputation code: the analytic or billing code to charge the booking to. Depending on your organization's settings, this can be mandatory.
Type and Status: classify the booking if several types and statuses are proposed.
The Additional information tab offers optional fields such as an observation, a contact person and, when enabled, a paid booking option and an online meeting option.
Narrow down the location and room features
On the Reservation tab, under Places, select the Site, and optionally the Building, Floor and even a specific Room.
Open the Filter tab to refine further:
Layout: the room set-up you need (for example U-shape or theater).
Minimum and maximum seats.
Equipment: type an equipment name (for example a video projector) and pick it from the suggestions.
Associated room: include rooms that can be combined with others.
Run the search
Click Search at the bottom of the screen.
The results screen lists all matching rooms with their building, site, layout, capacity, rate, preparation time, cleanup time and any message attached to the room.
Click a column header to sort the results.
Notes about the results:
A warning icon indicates a room that is subject to validation: your booking will need approval before it is confirmed.
Preparation and cleanup times are blocked around your slot; a message warns you if they overlap another booking.
If you searched several dates, the results show how many of your dates each room cannot cover.
If no room is listed:
"No room matches your search or your rights are insufficient": relax your filters, or contact your administrator if you believe you should have access to more rooms.
"No room is available for this period": try another time slot or date.
To start over, click Clean to reset the whole form.
