Manage room layouts and fixed equipment

Layouts describe how a room can be arranged (theater, U-shape, boardroom) and set its capacity in each arrangement. Fixed equipment describes what is permanently installed and powers the equipment search filter.

Manage layouts

  1. Open Hamilton Meeting, click Administration, then "Layouts management" in the Rooms section.

  2. The list screen shows the available layouts. Add, edit or delete entries — the screen follows the standard list pattern (see "Configure reference data: civilities, countries, cities and special days").

  3. Create the layouts your organization uses; each gets a name and appears as an option on the room form.

Then, on each room (Rooms management), attach the supported layouts and set the room's capacity for each. Bookers choose the layout when booking; preparation time can apply when the layout must be changed between meetings.

A layout used by existing bookings cannot be deleted — the message "This layout cannot be deleted" protects the history.

Manage fixed equipment

  1. In the Rooms section, click "Fixed equipment management".

  2. Add the equipment types (video projector, conference phone, flipchart...).

  3. On each room's form, declare the equipment present with its quantity.

Bookers can then filter the room search by equipment ("Filter" tab of the booking screen), and the room detail lists what is installed.

Good to know

  • Fixed equipment is part of the room; consumable or on-demand items (extra chairs, catering) belong to the services catalog — see "Manage the services catalog: families, services and suppliers".

  • Keep the lists short and unambiguous: they feed search filters, and too many near-duplicates make searching harder.
