Manage the services catalog: families, services and suppliers

The services catalog is what bookers can order with a room: catering, equipment, room set-up. It is organized in families and subfamilies, each service carrying its lead time, preparation needs and supplier.

Structure the catalog

  1. Open Hamilton Meeting, click Administration, then the Services section.

  2. Create the Families first ("Families management") — for example Catering, Equipment, Logistics.

  3. Create the Subfamilies ("Subfamilies management") inside families — for example Breakfast, Lunch, Cocktail under Catering.

Both are standard list screens (see "Configure reference data" for the common pattern).

Create the services

  1. Click "Services management". The catalog screen lists the services with filters by name, family, subfamily and site.

  2. Click Add and fill in the service:

    • Name, description, family and subfamily.

    • Site: where the service is available.

    • Anticipation (lead time): how long before the meeting the service must be ordered — past this deadline, bookers cannot order it.

    • Preparation time and Cleanup time: blocked around the meeting when the service requires setting up.

    • Price and rate information for paid services.

  3. Validate. The service is now orderable from bookings on its site.

The Catalog upload lets you attach a catalog document (menu, brochure) that bookers can open when ordering.

Assign suppliers

Suppliers are the people who fulfill the orders and use the services dashboard:

  1. On the services screen, click Supplier (or open "Suppliers" from a service).

  2. Add the supplier: search and select the person, and link them to the services (or families) they deliver.

  3. Use the delete icons to remove a supplier from a service.

Suppliers see the orders for their services in the services dashboard — see "Track and fulfill service orders as a provider" in the user guides. Also give the supplier's account the services dashboard right (see "Manage permissions with user and room groups").

Good to know

  • A supplier link on a service ("supplier link") can point to external documentation shown to bookers.

  • Prices interact with tariffs and VAT — see "Configure taxes, tariffs and imputation codes".

  • Orders and revenue by service are visible in the statistics.
