Set up a recurring booking

For meetings that repeat — a weekly team meeting, a monthly review — book all dates in one go. You define a recurrence pattern, review the proposed dates, and Hamilton Meeting finds rooms available on all of them.

Define the recurrence

  1. In the left menu, click Reservation.

  2. Set the start and end time of one occurrence (for example 10:00 to 11:00).

  3. Click "Choose a period" next to the End row. The Period window opens.

  4. Pick a recurrence pattern:

    • Daily: every N days

    • Weekly: every N weeks, on the weekdays you tick

    • Monthly: on day N every N months, or on the first/second/third/fourth/fifth weekday of the month

    • Yearly: on a fixed date or on the Nth weekday of a month

  5. Set the range: the start date, then either an end date or a number of occurrences (for example "after 10 occurrences").

  6. Click Search. The window lists all the dates matching your pattern.

  7. Review the list: hold Ctrl and click a date to remove it or add it back, as indicated on screen.

  8. Click Validate.

Back on the search screen, a link shows how many dates are selected; click it to reopen and adjust the period.

Book the series

  1. Complete the rest of the search form (booking name, booker, participants, location, filters) and click Search.

  2. The results show rooms available across your dates. If a room cannot cover every date, the number of unavailable dates is displayed; you can pick a combination of rooms to cover the whole series.

  3. Select the room (or combination) and click Book, then confirm.

Each date becomes a booking that belongs to the same series, all sharing the same reference.

Edit a series

  1. In the left menu, click My bookings and open any booking of the series.

  2. Click "Edit the series".

  3. Change what applies to all occurrences: tick "Change the date" to shift all dates, or "Change the time" to shift the schedule, and adjust the shared details (name, type, booker, contact, imputation code, observation, services, participants).

  4. Save.

Notes:

  • Changes never apply to past occurrences, as indicated on screen.

  • If a new date or time conflicts with another booking, an overbooking message names the room concerned; the conflicting occurrence keeps its original slot until you resolve it.

Cancel a series

  1. Open any booking of the series from My bookings.

  2. To cancel one occurrence only, use the actions of that booking (see "Manage your bookings: edit, cancel and review history").

  3. To cancel all occurrences, click "Delete the series" and confirm.
