Check out visitors and manage the waiting list

Recording departures keeps the on-site list accurate — essential for security and evacuation. The waiting list holds visitors whose visit cannot start yet, so no one gets forgotten in the lobby.

Check out a visitor

  1. Open Hamilton Visitor.

  2. In the left menu, click Reception, then Exit.

  3. Find the visitor: pick a search criterion — visitor, visitor company, resident company, resident, badge, purpose, ticket, visit ID or vehicle plate — and type your text. The VIP, restaurant, reduced-mobility and vehicle toggles narrow the list.

  4. Record the exit on the visitor's line. The visit is closed with the departure time, and the badge is released.

The "Print badge" button lets you reprint a badge from this screen when needed.

Manage the waiting list

Visitors put on hold at check-in (host unreachable, visit not confirmed) land in the waiting list:

  1. In the left menu, click Waiting — the menu item shows a live counter of how many people are waiting.

  2. Search by visitor, company, resident, badge or purpose; the VIP and reduced-mobility toggles help you prioritize.

  3. When the visit can start, open the visitor's line and validate the entry — the visit resumes the normal flow.

  4. To register a walk-in directly from here, click "New visit".

Good to know

  • The exit list only shows people currently on site; someone missing from it has either already left or never checked in.

  • Visits left open are flagged by the overstay and out-of-time follow-ups — see "Track document renewals, enquiries and overstays".
