Open the reception screen
Open Hamilton Visitor.
In the left menu, click Reception, then Reception.
The list shows the visits of the day. Find a visitor quickly with the search: pick a criterion — visitor, visitor company, resident company, resident (host), badge, visit purpose, ticket, visit ID or vehicle plate — and type your text. Use the toggles and the Filter panel for finer selections: visit type, visitor status, localisation, building, visit nature (visit or work), invitation confirmation status, and the VIP, restaurant, reduced-mobility (PMR) and vehicle flags. Tick "Already came" to include returning visitors.
Check in an expected visitor
Find the visitor in the list — they were pre-registered by their host.
Open the visit: the visit sheet appears with the visitor and meeting details already filled.
Verify the visitor's identity and complete anything missing (see the next section for photo and ID capture).
Click "Validate entry" to record the arrival, or "Validate and print" to record it and print the visitor badge in one step.
Register an unannounced visitor
On the reception screen, start a new visit (New visit). The visit sheet opens with two tabs: Visitor and Meeting.
On the Visitor tab, search the visitor by name:
If the person already came before, pick them from the suggestions — their record is reused.
Otherwise choose New to create the visitor: fill in the identity form (name, first name, status, company, function, email...; starred fields are mandatory).
Complete the visitor's record as your site requires:
Photo: take it with the webcam, a tablet, or import an image file. A delete button removes a wrong photo.
Identity document: click "Identity document" to scan the ID with the document reader (MRZ scan) — the visitor's data is filled automatically.
The Messages link warns you when alerts exist for this visitor, status, company or country.
On the Meeting tab, set the host (resident), the visit purpose, dates and location.
Click "Validate entry" or "Validate and print".
If a message tells you "This visit must be done at the reception of [site]", direct the visitor to the right site's front desk.
Register a group
On the visit sheet, click "Visitors group" to switch to group mode.
Add the visitors one by one (the maximum number per visit sheet is shown), or click the import icon to load them from a file (see "Import visits and visitors in bulk").
Validate the group entry; badges can be printed for all members.
Put a visitor on hold
If the host is not reachable or the visit cannot start yet, click "Waiting": the visit goes to the waiting list, visible to all reception desks — see "Check out visitors and manage the waiting list".
Good to know
Depending on your site's hardware, extra buttons appear for badge printers, webcams, tablets, document scanners and signature pads.
If your site uses several reception counters, you choose your counter (guichet) when entering the reception area; visits are traced per counter.
