Approve your team's presence plans

When the flex office policy requires approval, your team's presence plans and day changes come to you for a decision. The Presence approval screen gathers everything in one place: one-off requests, weekly plannings, and the history of your decisions.

Before you start

The Presence approval menu appears in the left menu (under Desk) only if your account has the presence approval right for your department or site. If your team's requests do not reach you, contact your administrator.

Open the approval screen

  1. Open Hamilton Deskbooking.

  2. In the left menu, click Desk, then Presence approval.

The screen has three tabs:

  • One-off requests: day changes waiting for a decision (for example "remote next Friday").

  • Default plannings: weekly presence patterns submitted by your team members.

  • Request history: everything already decided.

Review and decide on one-off requests

  1. Open the "One-off requests" tab. If nothing is waiting, the screen says "No pending request".

  2. Narrow the list if needed with the Date, Requester and Service filters, then click Search.

  3. Each line shows the requester, the date concerned, the requested mode (on site, remote, off) and when the request was made.

  4. Click Approve or Refuse.

  5. A confirmation banner sums up your decision with the person's name.

Review default plannings

  1. Open the "Default plannings" tab.

  2. Each pending planning shows the requester and their proposed weekly pattern.

  3. Click Approve or Refuse. The person's planning status updates immediately, and they see your name as approver on their Work presence page.

Check the history

  1. Open the "Request history" tab.

  2. Filter by date range, requester or service, and click Search.

  3. Each line shows the requester, the date, the requested mode, the final status, the approver and any comment.

Good to know

  • While a request is pending, the employee keeps their previous validated planning; the new one applies only once approved.

  • Employees can cancel their own pending requests; those disappear from your pending lists.
