Manage residents, companies, departments and services

Residents are your organization's people — the bookers, hosts and participants of every meeting. Their records carry the company, department and service used across bookings, filters and statistics.

Manage residents

  1. Open Hamilton Meeting, click Administration, then "Residents management" in the Residents section.

  2. Search by name, first name, company, site or active status, and click Search.

  3. Click Add to create a resident, or open a record to edit it: identity, email, phone, site, company, department, service, manager.

  4. The "Generate PIN code" action creates the personal PIN codes used by mobile and room devices ("PIN code generated" confirms).

Deactivate (rather than delete) people who leave: their booking history stays consistent.

Manage resident companies

  1. In the Residents section, click "Resident companies management".

  2. Add or edit the companies your residents belong to (standard list screen — see "Configure reference data" for the pattern).

Manage departments and services

  1. Click "Departments management" and "Services management" in the Residents section.

  2. Maintain the department and service lists; each resident record points to them.

Departments and services matter beyond directory data: flex office policies target services, presence approval follows services, and statistics break down bookings by service.

Good to know

  • When SCIM provisioning or a scheduled import feeds the residents, records update automatically — job titles, departments and companies are even created on the fly when missing. Avoid manual edits on synchronized fields.

  • A resident is not a user account: accounts (with sign-in credentials and rights) are managed separately and linked to residents — see "Manage users".
