Track document renewals, enquiries and overstays

Access rules live in time: documents expire, enquiries must be renewed, visits overrun. Four follow-up screens keep you ahead of the deadlines, plus tools to keep nationality and country data accurate.

Follow document renewals

Visitors and companies must sometimes provide valid documents (ID, insurance, prevention plan):

  1. In the left menu, click Validation, then Renewals.

  2. Filter by document type and expiration date, then click Search.

  3. The list shows the documents expiring soon or already expired, with their holder. Contact the holder to obtain the new document and update the record.

Follow enquiries

On sites where certain accesses require an administrative enquiry:

  1. In the left menu, click Validation, then Enquiries.

  2. Filter by state — Not processed or Processed — by site, by "entered before" date, or by company.

  3. Process the pending enquiries and record the outcome. The Export button downloads the list to Excel for reporting.

Follow out-of-time visits

  1. In the left menu, click Validation, then "Out of time".

  2. The screen lists visits that exceeded their allowed time frame, filtered by site and date range. Investigate each case with reception and close the visits.

Follow overstays

  1. In the left menu, click Validation, then "Duration overruns".

  2. The screen lists people whose presence exceeds the authorized duration, by visit type (visit or work), visitor and site. Follow up with the host or security.

Update nationalities and countries

For sites applying nationality-based rules (ZRR and similar):

  1. In the left menu, click Validation, then "Nationality update": search the visitor and correct their nationality.

  2. "Country list" displays the reference list of countries and the rules attached to them.

Good to know

  • These screens are follow-up tools: the underlying rules (document types, durations, enquiry requirements) are configured by administrators.

  • Expired documents and missing enquiries surface automatically as blocking or warning conditions during validation and check-in.
