Set reminders and email notifications on a booking

Never miss a meeting or forget to inform the attendees: each booking can carry reminders sent before the meeting starts, and email notifications for the booker, the contact person and every participant.

Add a reminder to a booking

  1. In the left menu, click My bookings, open the booking and click Modify.

  2. Scroll to the Reminders section and click the add (+) icon.

  3. In the "Add a reminder" window, enter the amount of time before the meeting and choose the unit: minutes, hours, days or weeks.

  4. Confirm. The reminder appears in the Reminders list with its time.

Error messages you may encounter:

  • "The field Reminder is mandatory": enter a value before confirming.

  • "The field Reminder must be numeric": use digits only.

  • "The reminder is earlier than today": the computed reminder time is already in the past; choose a shorter delay.

To delete a reminder, click the cross icon next to it in the list.

Set default reminders for all your bookings

You can define reminders that apply automatically to your future bookings:

  1. Click your name in the top right corner and select "User profile".

  2. In the "Default reminder" row, click the add (+) icon and set the time and unit.

Send email notifications

Emails keep everyone informed when a booking is created or changed:

  • Booker and Contact: on the booking form, tick the envelope checkbox next to the Booker or Contact field to send them the booking summary by email. The meeting details are attached to the message.

  • Participants: in the Participants section, tick the email checkbox on each row, or use the checkbox in the column header to notify all participants at once.

Good to know

  • Reminders are attached to the booking, so they follow any change of date or time.

  • Whether emails are sent by default can be preconfigured by your organization; the checkboxes always show the current choice.
