Before you start
The Validation menu appears only if your account has the validation right. Validation rules — which visits need approval, and who decides — are configured by your administrators.
Open the validation list
Open Hamilton Visitor.
In the left menu, click Validation, then Validation. The "Validation list of pre-registrations" opens.
Filter by date range ("From" / "To") and search, then click Search.
Each request shows the visit details: visitor, company, host, dates, requested locations. Warning icons flag special cases — for example a request with no localisation attached, or a VIP visitor. The automatic arbitration engine may have pre-assessed requests: "No validation required" passes directly; "Not arbitrated" waits for your decision.
Decide on a request
Tick the request (or several) in the list.
Apply your decision with the action buttons:
OK: the visit is authorized and reaches reception's expected visits.
To accompany: authorized, but the visitor must be escorted.
Notify management: authorized subject to informing management.
Waiting: keep the request pending — more information is needed.
Incomplete: send the request back as incomplete; the requester must complete it.
Forbidden: refuse the visit.
Your decision is recorded with your role and name, and the requester is informed.
Two more actions help with special cases:
Recalculate: re-run the automatic arbitration after the request or the rules changed.
Return to controller: hand the request back to the controller level for re-examination.
Track processed requests
Use the date filters to review past decisions: each visit keeps its full decision trail (who decided what, and when). The current status of any visit is always visible in the pre-registrations list.
Good to know
Requests concerning restricted zones follow the stricter ZRR/CPPA rules — see "Manage restricted zone access and exceptional passes".
Blacklisted visitors are flagged during validation; forbidden visitors cannot be checked in.
