Manage visitor records, statuses and functions

Visitor records are Hamilton Visitor's core asset: one clean record per person, reused at every visit. The administration maintains the records, their classification, and the signature archives.

Manage visitors

  1. Open Hamilton Visitor, click Administration, then "Visitors management" in the Visitors section.

  2. Search, open and correct visitor records: identity, company, function, status, documents. Prefer correcting over deleting — history follows the record.

For day-to-day corrections, reception uses its own visitor management screen; the administration screen offers the full dataset.

Manage visitor statuses

  1. Click "Visitor statuses management".

  2. Maintain the statuses (guest, contractor, driver...): they classify visitors, filter every list, and can target badge templates and messages.

Manage visitor companies and functions

  1. Click "Visitor companies management" and "Functions management".

  2. Maintain the external companies and the job functions proposed on visitor forms.

For moving many visitors to another company at once, use "Company change for a visitor group" — the same tool as reception's (see "Manage visitor and company records" in the user guides).

Review signatures

Two consultation screens archive what was signed:

  • "Visitor signatures": the signatures captured on visitor records.

  • "Visit signatures": the signatures captured per visit (charters, safety instructions).

Search by visitor and date to retrieve a signature during an audit or a dispute.

Good to know

  • Duplicates are merged with the deduplication tool — see "Import data and clean up duplicates".

  • Blacklisting (banned visitors) is consulted through the reports — see "View statistics, dashboards and blacklists" in the user guides.
