Loan and return keys

The key management screen mirrors your key cabinets: every key, its place, and who holds it. Recording loans and returns keeps the cabinet accountable at any moment.

Open the key board

  1. Open Hamilton Security.

  2. In the left menu, click "Key management", then "Key management" again in the submenu. A window opens showing the keys.

  3. Filter by Cabinet and by Site to display the cabinet you manage. Each key shows its name, place, reference and, when it is out, the borrower's name.

Loan a key

  1. Select the key (or keys) to lend and open the Loan action. The Loan window opens.

  2. Fill in the loan:

    • Borrower: the person taking the keys. This field is mandatory.

    • Keys: the selected keys are listed; adjust if needed.

    • Date: the loan date and time (now by default).

  3. If your post is equipped with an electronic signature pad, have the borrower sign: the loan cannot be validated without the signature ("Please have the borrower sign for the key loan").

  4. Validate. The keys are marked as out, with the borrower's name displayed on the key board.

Return a key

  1. Open the Return action from the key board.

  2. Select the key (or keys) coming back and check the date and time.

  3. Validate. The keys are back in the cabinet and available again.

Track loans

  • History: in the left menu, click "Key management", then History to review all past loans and returns — who took what, when, and when it came back.

  • Overdue keys: the overdue list shows keys that should have been returned; follow them up with the borrowers.

Good to know

  • Keys, cabinets and borrowing authorizations are configured by your administrators; if a key refuses a borrower, their authorization may be missing.

  • Key movements are part of the site's activity and appear in statistics and exports.
