Update your profile and change your password

Your user profile shows how your account is set up and lets you manage your personal settings, including your password. The profile is available in each Hamilton application from the same place.

Open your profile

  1. Sign in and open an application (for example Hamilton Meeting).

  2. Click your name in the top right corner of the screen.

  3. Select "User profile" from the menu.

Review your profile information

The profile page displays your account details:

  • Username: the login you use to sign in.

  • Name and email address: your identity as registered by your organization.

  • Rights group: the permission level assigned to your account.

  • Room groups (Hamilton Meeting): the rooms you are allowed to book.

  • Manager: shown if a manager is assigned to you.

Most of this information is managed by your administrator and is read-only. If something is incorrect (for example your email address or your rights group), contact your administrator.

Change your password

If your organization allows password changes:

  1. On your profile page, find the "Password" row and click the edit (pencil) icon next to it. A password window opens.

  2. Enter your current password in the "Old password" field.

  3. Enter your new password. Hover over the information icon to see the password rules:

    • At least 8 characters

    • At least one uppercase letter

    • At least one lowercase letter

    • At least one digit

    • At least one special character

  4. Enter the new password again in the confirmation field.

  5. Confirm. The window closes when the change succeeds, and a notification email is sent to your address.

If you see an error message:

  • "Your old password is incorrect": retype your current password.

  • "The new password and the confirmation must be identical": both new password fields must match exactly.

  • "Insufficient password complexity": adjust your new password to meet all the rules above.

Note: if you sign in with Microsoft, Google or your corporate single sign-on, your password is managed by your identity provider and the edit option may not be available.

Set your default booking reminders (Hamilton Meeting)

You can define reminders that are automatically proposed for your bookings:

  1. On your profile page, find the "Default reminder" row.

  2. Click the add (+) icon on the right. A small window opens.

  3. Choose the amount of time before the meeting (in minutes, hours, days or weeks) and confirm.

  4. To remove a reminder, click the cross icon next to it.

Designate a delegate in case of absence

If delegation is enabled in your organization, you can let a colleague act on your behalf while you are away:

  1. On your profile page, find the "Delegate in case of absence" row.

  2. Click the edit (pencil) icon to open the delegate window.

  3. Search for and select the colleague who will act for you, and set the end date of the delegation.

  4. Close the window. Expired delegations are highlighted in red so you can update them.

Save your changes

Click "Validate" at the bottom of the profile page to save your changes, or "Close" to leave without saving.
