Customize the email templates
Open Hamilton Visitor, click Administration, then "Email template editor" in the Templates section.
Select the Site (or the general template) and the email to edit: visit invitations, arrival notifications to hosts, parcel notifications, validation decisions...
Edit the subject and body, keeping the placeholders that inject the visit's data; set the activation and recipient options.
Validate, then trigger a test (a test pre-registration, a test parcel) and check the received email.
The distribution lists used by notifications are maintained in "Email recipients management" (Settings section).
Design the signature templates
In the Templates section, click "Signature templates editor".
Click Add and compose the document visitors sign on the pad or tablet at check-in: your safety instructions, house rules or confidentiality charter, with the visit fields you need embedded.
Validate.
At the desk, the signature step presents this document; signed copies are archived and searchable in the signature consultation screens — see "Manage visitor records, statuses and functions".
Good to know
Templates exist per site and per language: configure the general version first, then override where needed.
The SMTP server that actually sends the emails is configured in the integrations — see "Configure integrations: Microsoft Graph, email and Hamilton API".
