Create instruction sheets and standing orders

Instructions are the orders your agents work by. Hamilton Security manages them in layers: shift-start sheets, permanent instructions (with sharing between sites), instructions associated to events, and temporary instructions with a validity period.

Shift-start sheets (fiches)

  1. Open Hamilton Security and click Administration in the left menu.

  2. In the Instructions section, click "Shift-start sheets management".

  3. Click Add: upload the sheet document — "Please select a file in PDF or DOC format" reminds you of the accepted formats. Validate.

These sheets are displayed to agents automatically during the start-of-shift sequence.

Permanent instructions

  1. In the Instructions section, click "Permanent instructions management".

  2. Click Add and upload the instruction document (PDF or DOC). Validate.

Permanent instructions are always available to agents under "Sheets and permanent instructions". Where the documents are stored (network share, credentials) is configured per site — see "Configure general settings and labels".

Shared instructions

"Shared permanent instructions management" distributes an instruction to several sites at once — maintain the shared document once, publish everywhere.

Associated instructions

"Associated instructions management" links an instruction to specific events: when the agent records that event, the instruction is proposed — the right procedure at the right moment.

  1. Create the instruction ("Associated instructions"), then link it to the event types concerned.

Temporary instructions

  1. In the Instructions section, click "Temporary instructions management".

  2. Click Add and enter the instruction with its Reference and its validity period (start and end dates).

  3. Validate. The instruction appears to agents in "Temporary instructions" and in the start-of-shift sequence while it is valid, then expires on its own.

Good to know

  • Agents consult but never edit instructions — the user-side view is described in "Consult instructions and shift-start sheets" and "Manage temporary instructions".

  • The count of active temporary instructions is tracked in the statistics.
