Manage users

A user account is what people sign in with. Each account is linked to an employee (resident), belongs to a rights group, and can be dedicated to one person or shared as a generic account.

Open the users management

  1. Open Hamilton Meeting, click Administration, then "Users management" in the Users section.

  2. The list shows the accounts; search, then click Add or open an account to edit it.

Create a user

  1. Choose the Type:

    • Dedicated: the account of one person.

    • Generic: a shared account (a reception desk, an assistants' pool).

  2. Fill in the General block — starred fields are mandatory, and error messages guide you:

    • Resident (mandatory): the employee record the account is linked to. Click the magnifier to search.

    • Booker (mandatory): who bookings are made for by default. Tick "modifiable" to let the user change the booker on each booking.

    • Contact person: the default contact for bookings, when used.

    • Name (mandatory), Username (mandatory and unique — "is already used" otherwise).

    • Password and Confirmation: both must match, and the password must meet the complexity rules (8+ characters, uppercase, lowercase, digit, special character). Not needed when users sign in with SSO.

    • Email: required for notifications.

  3. Assign the Rights group — it defines what the account can do (see "Manage permissions with user and room groups").

  4. Assign the Room groups — they define which rooms the account can book.

  5. Validate.

Maintain accounts

  • Edit an account to update its links, group or room access; disable it when the person leaves.

  • Accounts provisioned by SCIM or imports are updated automatically — avoid manual changes to synchronized fields (see "Automate user provisioning with SCIM" in the Getting started administrator guides).

Good to know

  • One resident can have an account in each application; rights are per application.

  • The built-in administration account cannot be edited by regular administrators.

  • Users manage their own password and delegates from their profile — see "Update your profile and change your password" in the user guides.
