Open the tasks management
Open Hamilton Meeting, click Administration, then "Tasks management" in the Tools section.
The screen is organized in tabs: Tasks (the schedule) and Imports (the import configurations), plus the building blocks referenced by them.
Configure an import
On the Imports tab, create the import configuration:
File import: the file path, the separator, and "skip the first line" for files with headers.
Web service import: the service type, server, user, password, query and filter.
Define the field mapping (correspondences): which source column feeds which resident field. The mapping screens let you fetch the source fields to map them one by one.
Photo imports work the same way for people's pictures; purge configurations define what old data to clean.
Schedule the tasks
On the Tasks tab, create a task that runs one or more configurations, with its schedule and order — the up/down arrows reorder the sequence.
Each task line offers:
Edit and Delete (deletions are protected: "You cannot delete this configuration because it is called in a task").
Immediate execution: run the task now instead of waiting for the schedule.
Test the task: a dry run that shows the result without applying it ("No result" flags an empty source).
Email notifications (subject, recipients) can report each run's status.
Verify an import
Use "Test the task" first and review the returned rows.
Run it with "Immediate execution", then check the residents management for the created/updated records.
Watch the status column of the task after each scheduled run.
Good to know
Deletion protections chain: a configuration used by a task, or a state used by a configuration, cannot be removed until unlinked.
For directory synchronization, prefer SCIM when your identity provider supports it — see the Getting started administrator guides; the tasks engine remains ideal for files, photos and purges.
The same engine exists in Hamilton Visitor and Security; configure imports where the data belongs.
