Receive, track and deliver parcels and mail

The mailroom module traces every parcel and letter from arrival to delivery — and outgoing shipments too. Recipients are notified automatically, and each item keeps its full history.

Record an incoming parcel

  1. Open Hamilton Visitor.

  2. In the left menu, click "Mail and packages", then "Mail and packages", and click the new arrival action. The "New arrival" form opens.

  3. Fill in the Sender block:

    • Carrier: pick the delivery company (create it on the fly with New if needed).

    • Sender: the person or organization who sent the item.

  4. Fill in the Recipient block:

    • Correspondent: the person the item is for. This field is mandatory. Search by name; the envelope and SMS icons control how the person is notified.

    • Number of items, nature (letter, parcel...), storage location (locker) as proposed by your site.

  5. Validate. The recipient is notified; the item appears in the tracking list. Print the label when your site uses package labels.

Common error messages: "Please indicate the correspondent" (recipient missing), "The number of packages field must be numeric", "Incorrect date".

Record an outgoing shipment

  1. From the same menu, click the new shipment action. The "New shipment" form opens.

  2. Fill in the sender (the internal service or person shipping), the carrier, the recipient, the number of items — and the price and declared value when tracked.

  3. Validate. The shipment joins the tracking list until the carrier picks it up.

Track and deliver

  1. In the left menu, click "Mail and packages", then "Mail and packages" for the current list — or History for past items.

  2. Filter by date range, status, type (Arrival or Shipment), site, nature, service, sender or recipient.

  3. When the recipient collects their item, record the delivery on its line: the item's status changes and the chain of custody is complete.

  4. Reprint labels or the list as needed; the History screen keeps everything searchable.

Good to know

  • Hosts see their own pending parcels in their menu — see "Follow your visits, packages and delegations as a host".

  • Parcel volumes by status, nature, counter and service are available in the statistics.

  • Statuses, natures, carriers and lockers are configured by administrators.
