Import visits
Open Hamilton Visitor.
In the left menu, click "Visits import".
Click Template to download the expected file format. The template defines one visit per line: visitor identity, company, host, dates, purpose.
Fill in the template without changing the columns, then select your file and click Validate.
The screen confirms the import and lists any rejected lines with the reason (mandatory field missing, unknown host, invalid date...). Fix those lines in the file and import it again — only the corrected lines need to be resubmitted.
The imported visits appear in the pre-registrations list, ready for check-in.
Import visitors into a visit
When composing a group visit (from the visit sheet):
On the Visitor tab of the visit sheet, click the group import icon ("Import visitors").
Download the template, fill in one visitor per line, and upload the file.
Validate: the visitors are created and attached to the visit. Rejected lines are listed with their errors.
With email invitations enabled, imported visitors can receive their invitation automatically.
Good to know
Respect the template exactly: column order and formats (especially dates) are checked line by line — "The number of columns is wrong" means the file structure was altered.
Imports reuse existing visitor records when the identity matches, avoiding duplicates.
Very large or recurring imports (directory synchronizations) are configured by administrators as scheduled tasks; the imports described here are for day-to-day lists.
