Configure access control and presence control

Two device-facing features close the loop between bookings and the physical building: access control grants door access to meeting attendees, and presence control releases rooms automatically when nobody shows up.

Configure access control

  1. Open Hamilton Meeting, click Administration, then "Access control configuration" in the Access control section.

  2. Pick the Site and configure the connection to your access control system, then validate.

Once connected, bookings can drive door rights for the booked room and time slot, according to your access control system's capabilities. The connection details depend on the system installed on your site — coordinate with your security integrator.

Configure presence control

Presence control detects whether a meeting actually starts — via a room sensor or a check-in on the door tablet — and frees the room when it does not.

  1. In the Configuration section, click "Presence control" to manage the presence control profiles (standard list screen).

  2. Create a profile defining the behavior: detection window, reminder email delay, automatic cancellation delay.

  3. Activate it per room, in the room form's Presence control block (see "Create and configure meeting rooms"):

    • Presence control: on/off for this room.

    • Profile: the profile to apply.

    • The sensor code identifying the room's detector.

    • Email delay (minutes): when the no-show reminder email is sent.

    • Cancellation delay (minutes): when the booking is cancelled and the room released.

    • "Last status" shows the latest detection state — your health check.

Verify

  1. Book a test meeting in a presence-controlled room and do not check in.

  2. Verify the reminder email arrives after the email delay, and that the booking is cancelled after the cancellation delay, releasing the room.

Good to know

  • Presence confirmation by users happens on the room tablet or from the booking ("Finish" ends a meeting early — see the user guides).

  • No-show statistics quickly justify the feature: released rooms return to the free pool for everyone.
